HelloSun LLC ("HelloSun," "we," "us," or "our") respects your privacy. This Privacy Policy describes the information we collect, how we use it, and the choices you have. It applies to hellosun.solar, our customer portal at my.hellosun.solar, and the SMS and email communications we send.
1. Information We Collect
We collect information you provide directly to us, information we receive automatically when you use our services, and information from third parties you authorize.
Information you provide
- Contact details: name, email address, phone number, mailing address.
- Property details: service address, roof type, utility provider, monthly usage and rate, photos of utility bills.
- Account credentials: password (stored hashed), authentication codes.
- Project documents: proposals, contracts, signed agreements, change orders, design files, and any documents you upload to your customer portal.
- Communications: messages you send us through the contact form, chat, email, or text.
Information collected automatically
- Device and browser information, IP address, pages visited, and timestamps - used for security, analytics, and to improve the site.
- Cookies and similar technologies used to keep you signed in and remember preferences. You can disable cookies in your browser, though some features may stop working.
Information from third parties
- Utility data: when you connect your utility account or share a bill, we receive usage and billing details for the address you provide.
- Mapping and address validation: Google Maps API uses your address to render imagery and validate location.
- Payment processors and financing partners: if you apply for financing, the lender shares approval status with us; we do not store full banking or credit card numbers.
2. How We Use Information
- To prepare proposals, contracts, and site designs for solar and battery systems.
- To schedule site surveys, installations, and service appointments.
- To send transactional notifications about your project (email and SMS).
- To verify your identity (one-time codes during signup or sign-in).
- To respond to your questions and provide customer support.
- To comply with permits, interconnection paperwork, and incentive applications submitted on your behalf.
- To prevent fraud, enforce our terms, and meet legal obligations.
3. SMS Messaging Program
SMS Consent and Mobile Information Sharing
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories of personal information described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Specifically, we do not share, sell, lease, or rent your mobile phone number, SMS opt-in status, message content, or any data collected as part of our text-messaging program to any third parties or affiliates for their marketing or promotional purposes. SMS opt-in data is collected solely to deliver the transactional project notifications you have opted in to receive from HelloSun.
How opt-in works
You opt in to receive SMS messages by checking an unchecked consent box on our signup form at my.hellosun.solar/auth/register. The consent statement reads:
"Send me text message updates about my solar project, including appointment and install reminders and status updates. Msg and data rates may apply. Reply STOP to opt out anytime."
We record your consent (yes/no) and the timestamp at the moment you submit the form. If you do not check the box, you will not receive any SMS from HelloSun.
What we send
- Site survey reminders (appointment time, advisor name).
- Proposal-ready notifications and contract-ready notifications.
- Install date confirmations and pre-install reminders (one week prior and 24 hours prior).
- System activation confirmation and post-activation service updates.
Message frequency varies by project stage; expect roughly 1–4 messages per month during active project phases and fewer once your system is activated.
Opt-out and help
You can opt out at any time by replying STOP to any HelloSun SMS, or by toggling SMS off in your account Notification Preferences at my.hellosun.solar. Reply HELP for customer support contact information. Standard message and data rates from your wireless carrier may apply.
4. How We Share Information
We share information only as needed to deliver your solar project or as required by law:
- Service providers who help us operate (hosting, email delivery via Resend, SMS delivery via Twilio, e-signature via Xodo Sign, mapping via Google, analytics). These providers act on our behalf under written contracts and are not permitted to use your information for their own marketing.
- Subcontractors and crews assigned to your installation, only the details needed to perform their work (address, scope, scheduling).
- Utility companies and permitting authorities, only the information required for interconnection agreements, permits, and incentive applications submitted on your behalf.
- Financing partners you authorize, only the information needed to underwrite your loan application.
- Legal authorities when required by law, court order, or to protect rights and safety.
We do not sell your personal information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent are never shared with any third parties under any circumstances. Service providers that process SMS on our behalf (such as Twilio) are bound by contract to use this data only to deliver the messages we send.
5. Data Retention
We retain project records (contracts, designs, permits, warranty documentation) for the life of your system plus the period required by Pennsylvania law and applicable tax and warranty obligations. Marketing and inquiry records are retained no longer than reasonably needed. You can request deletion of your account; we may retain records we are legally required to keep.
6. Security
We use industry-standard safeguards including encryption in transit (HTTPS), encrypted database storage, hashed passwords, multi-factor authentication on internal systems, and role-based access controls. No system is perfectly secure; please use a strong, unique password and notify us immediately if you suspect unauthorized access to your account.
7. Your Choices and Rights
- Access and update your profile and project information in your customer portal.
- Email preferences: unsubscribe from non-essential emails using the link in any message; transactional project emails remain required.
- SMS preferences: reply STOP or toggle SMS off in Notification Preferences.
- Cookies: disable in your browser settings.
- Deletion: request account deletion by emailing info@hellosun.solar. We honor deletion requests subject to legal retention obligations.
8. Children's Privacy
HelloSun's services are intended for adults capable of entering into a service agreement. We do not knowingly collect personal information from anyone under 18. If we learn we have, we will delete it.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the new effective date at the top, and for material changes we will notify active customers by email. Your continued use of our services after the effective date constitutes acceptance of the updated policy.
